Ship from Store

Ship from Store (SFS) offers the capability to retailers to use physical stores as distribution centers. This helps you fulfill online orders from one or multiple sales channels, such as an e-commerce store or marketplace.

  • Physical stores will fulfill online orders from store inventory when the warehouse is out of stock
  • Allow faster shipping to customers
  • Lower shipping costs
  • Flexible and cost effective solution
  • Integrated with Point of Sales (POS) mobile application to allow store assistants to manage SFS orders more efficiently
  • Adaptable as the client’s needs and sophistication increases

Access

There are three different ways to access in your Order Management System (OMS) Admin:

  1. Navigate to Dashboard > Operation Dashboard. This view offers a summary of the SFS orders pending picking. Additionally, there is a Go to ship from store page option that allows you to go directly to the SFS page.

  2. Navigate to Dashboard > Ship from Store Dashboard.

Pick

Once you have found the SFS page, a list of all the stores will be displayed:

The information shown in the store list is the following:

  • Number of new orders (pending picking)
  • Picking/packing
  • Shipping
  • pick lists complete

The list of shown stores can change depending on the User’s permissions.
The SFS can be enabled (by default) or disabled at the source level in the configuration portal. If it is disabled, the source does not appear in this page, unless there are remaining pick lists still in progress.

Pick list generation

First, you need to select the specific store to start generating the pick list. Then, click Alt text to create a new pick list for this store:

For warehouses, and the integration with the Warehouse Management System, users in the OMS Admin should not create pick lists. To disable this feature, configure the Enable SFS capability for this source option in the System Integrator (SI) Portal.

Navigate to Config > Sources > Omnichannel > Ship From Store.

  1. If there is no pick list in progress and SFS feature is disabled in the SI portal
  2. Source does not appear in the Stores list in your OMS Admin:

  3. Continue with the next step once you Generate Pick List with All Orders.

  4. The header shows the Store, the Pick List ID, and the status New. Furthermore, you will see all the Pick List details, such as: when it was created, Status, number of orders, and number of items. This list groups the items by Stock Keeping Unit (SKU) and does not take into account the order.

Pick/Decline products

The picking process can be done with a mobile device (tablet) using our In Store Interface where you will be able to confirm or decline the picking of a product. It can also be done by printing a pick list and then updating the interface based on final results.

  1. Confirm you have found all the items in the store and want to confirm the total quantity of this product. The status of the Pick list will change to “Ready to Pack” when all products have been picked confirmed/declined.

  2. Click the Settings (gear icon) to modify the Item Quantity. If you have not found all the items in the store and you need to update the quantity of this product use this option.

    A new view shows the number of requested items. Select the number of items to be confirmed and to be declined. You must indicate the decline reason to missing, damaged, or hold. This list of reasons is configurable.

    To configure the list of available reasons, contact Magento Support for assistance.

  3. Click Update to update the pick list.

    The status on the pick list page changes to Ready to pack.

Start Packing

Once you have the list of items updated and you have confirmed the quantity, click Start Packing. In case you have declined all the items, you have to click Confirm Selection.

Continue picking

If you have created the pick list but have not finished the picking process:

  1. Navigate to Sales > Ship from store.

  2. Select the store from which to continue working with a pick list and click Continue with pick list.

    If there is more than one pick list in progress, a list of pick lists will be displayed with the following information:

    • Number of pick lists
    • Number of orders
    • Number of items
    • pick list details (ID, date of generation, status, orders, items and actions)

  3. Select the pick list you want to continue picking and click Continue Picking.

    If there is only one pick list in progress, you will be automatically directed to the pick list view.

  4. Continue with the process as it was described previously.

Pack

When you click Start Packing, a list of orders will be displayed for this specific pick list.

Pack products per order

  1. When there is an order with more than one product, you can configure the number of boxes you want to use. Click Configure boxes.

  2. You can also view the boxes you configured.

  3. Click Add Box to create a new box configuration.

  4. Once you have modified the configuration, click Save

Prepare orders for carrier

Once you have your boxes ready, you need to complete the Carrier information:

  • Carrier—Select the carrier.
  • Tracking Number—Write the tracking number provided by the carrier.
  • Tracking Link—This information can be automatically displayed based on configuration.

You can print the Packing slips individually per box (and put them in each physical box):

Once you confirm, you cannot change the carrier information.

Status of pick list

When all the boxes are confirmed, the status of the pick list changes to Packed:

If you started Packing but did not finish the Packing process:

  1. Navigate to Sales > Ship from store.

  2. Select the store from which you want to continue packing a pick list and click Continue with pick list.

  3. A list of pick lists is displayed with the following information:

    • Number of pick lists
    • Number of orders
    • Number of items
    • Pick list details (date of generation, status, orders, items and actions)
  4. Select the pick list for which you want to continue packing and click Continue Packing.

    If there is only one pick list in progress, you will be redirected to the pick list view.

  5. Continue with the process as it was described previously.

Shipping

  1. The last step for a SFS process is to confirm Shipping by printing a Shipping Manifest.

  2. The Shipping Manifesto gathers all the information related to this pick list including:

    • Carrier identification
    • Pick list ID
    • Number of packages
    • Number of orders and packages by order
  3. While other information is filled manually:

    • Date and time
    • Store assistant
    • Carrier driver

Confirm the order was collected by the carrier by clicking Confirm Shipping.

You can always check the status and information of the pick lists that have been packed:

  1. Navigate to Sales > Ship from store.

  3. Click View pick list.
